Sadya Planner (sadyaplanner.app) helps families plan the food for South Indian occasions, bringing together regional menus, authentic dish names, practical quantities, recipes and shopping lists. It comes from the personal journey of its founder: a South Asian, a food and beverage professional, and someone who has lived in different countries. You can read the full About on sadyaplanner.app (About Sadya Planner). We decide how your personal information is used. Privacy contact and grievance officer (India): privacy@sadyaplanner.app.
| What | Why | Kept for |
|---|---|---|
| Sign-in email. Our provider, Cloudflare, emails you a one-time code to check you are on the approved list. | To let you in. | Until you ask us to remove it. |
| While the app is open: your sign-in email and a random device code, sent about every 20 seconds. | So the app can warn you if your account is open on two devices at once. | About 5 minutes, then it disappears. |
| Vendor links: when you tap a link to a grocery vendor, we add one to a count for that vendor and market. The count holds no name, email or device. | To see which links are useful. | As long as the count exists; it identifies no one. |
| Free trial: email, name if you give one, region, sign-up and first-use dates. | To send your trial link and run the trial. | Up to 12 months after the trial ends, then deleted. |
| Invites: a random code. If you tick "show my name", your first name and the initial of your last name. | To credit who invited whom. The person you invite never sees your email. | As long as the invite exists. |
| Emails you ask for (for example crossword answers): your email. | To send what you asked for, once. No mailing list. | 60 days, then deleted. |
| Caterer Portal (only if you register as a caterer): business and owner name, email, phone, WhatsApp number, address, city, district and PIN or ZIP code, food-business registration and certificate (for example FSSAI in India), menus and prices, general event records (type of event, dishes, portions, guest count, time of year, price and estimated cost), kept in anonymised form with no customer name or address, ratings, team members, and any visiting-card photo you upload. | To list your business, run the portal, and meet food-safety rules. | While your account is open, then up to 12 months. |
| Your team members (if you use the team feature): names, phone numbers, addresses and availability. | To run your team schedule for you. | While your account is open; you can delete entries any time. |
| Reviews you leave (if a caterer asks you for one): ratings, comment, the display name you choose, type of event and month. Your contact details (email or phone), entered by the caterer, only to deliver the request. | To deliver the request and show your review on the caterer's listing. | Contact details: to be deleted within 30 days. Review: while the caterer is listed, or until you ask us to remove it. |
No payments in the trial. We do not take any payment or card details during the trial. If paid plans start later, we will update this policy first.
Your plans stay on your device. Event details you enter (guest counts, dishes, region, client name, dates) are saved only in your browser's local storage. They never leave your device.
Visiting-card photos. If you upload one, an automated text-recognition service run inside our hosting provider (Cloudflare) reads the details to fill in your form.
Voice (Premium preview). If you use the microphone, your phone's own speech service (Google on Android, Apple on iPhone) turns your voice into text under its own privacy terms. The app only receives the words, which stay in your browser. It asks first.
Customer details. We do not keep your customers' names or addresses, and Sadya Planner does not pass them between you and your customers. The one exception is a customer's email address or phone number, which you enter only so we can deliver a review request on your behalf; we use it once and delete it (see Reviews below). We do not keep a contract's price or value against a named customer or caterer: a quote is built and sent, and its amounts are to be deleted once the job is marked complete and the review request is sent, or 60 days after the event date if it is never marked complete. What we keep for analysis is anonymised (see below). Keep your own copy of anything you need for your records and taxes. Please do not type customer details into notes. If you add team members, you are responsible for having the right to do so and for telling them; we hold their details only for you, never use them for our own purposes, and never sell them.
Wholesaler listings (coming soon, phase 2; not live). In a later phase, approved wholesalers may pay for a listing so they can offer competitive prices directly to caterers, based on general buying patterns by region. We will not take part in, or handle the payment for, any purchase. Wholesalers will see general regional patterns, not your name or contact details. How offers reach caterers will be explained here before this starts. We will update this policy and tell you before this starts.
Paid listings for the public (coming soon, phase 2; not live). Approved caterers, florists, banquet halls and function halls may be listed, for a fee, for people planning an event. A listing shows the business details the business gives us. We do not take part in bookings or payments.
Anonymised totals. We keep general event records (market, region, district, type of event, guest-count range, dishes, portions, time of year, price per plate and estimated cost) with no names, phone numbers, emails, addresses or exact dates, and a figure is shown only when at least five orders or caterers are grouped. Only jobs the caterer marks as completed count as market data. Quotes that are never marked as completed may be kept in the same anonymised form, labelled unverified, because the customer has not told us what happened; they are not shown as market figures. During the trial we use these only to improve the app. We will not share or license them to anyone before we update this policy and tell you.
Reviews of caterers. After a job, a caterer can use their login on Sadya Planner to ask their customer for a review. To send the request the caterer enters the customer's email address or phone number. We use it only to deliver that request (one message, and at most one reminder), and we intend to delete it within 30 days. If you leave a review, we keep your ratings, your comment, the display name you choose, the type of event and the month, and we show them on the caterer's listing on our closed customer site. The caterer may reply once. We show reviews from real jobs, whether kind or critical, and a caterer cannot edit or remove them; we remove only reviews that break our review rules (for example abusive, false, or showing someone's private details). You can ask us to remove or correct your review, or to stop messages, at any time by writing to us.
If you sign in, Cloudflare sets a sign-in cookie. Your browser's local storage holds your plans and settings. Both are needed for the app to work, so there is no cookie banner. If advertising is ever added, we will update this policy first and ask for your consent where the law requires it.

Email privacy@sadyaplanner.app from the address you signed in with, with the subject "Delete my data". We will confirm by email, delete your sign-in, trial, invite and portal records, and tell you when it is done, within 30 days. Anonymised totals are not linked to you and stay.
